The Jobsite Photo Documentation Checklist

Stage 1: Existing conditions, before you touch anything

• Shoot four wide corners of every room in the scopeStand in each corner and capture the full room including ceiling and floor. Good looks like a set where any wall can be reconstructed from the images without guesswork.
• Close up every pre existing defect you did not causeCracked tile, stained ceilings, out of level floors, a settling crack in the drywall. Photograph it with a tape or a level in frame so the condition is measurable, not just visible.
• Document the path and the property you are protectingEntry route, stairs, flooring you will cover, furniture that stays. This is what stops the claim that your crew scratched the hallway floor on day one.
• Capture shutoffs, panel and existing equipment labelsMain water shutoff, the panel with the door open and the directory visible, water heater and furnace data plates. Model and serial numbers save you a trip later when sizing a replacement.
• Photograph anything built before 1978 that you will disturbIf the home predates 1978 and you will disturb painted surfaces, the EPA RRP rule applies to most work. Photograph the surfaces and keep the record with your firm certification file.
• Shoot the exterior elevation and the addressOne clean shot of the front of the house with the house number visible ties the whole set to an address. It reads as proof rather than as a folder of anonymous rooms.

Stage 2: Demo, when the surprises show up

• Photograph every hidden condition the moment it appearsRotted subfloor, cut joists, knob and tube, an undersized circuit, a leaking supply. Shoot it before you clean it up, wide enough to show the location and close enough to show the defect.
• Take the change order photo before you quote the changeThe image the homeowner sees when you explain the extra cost should be from the moment of discovery. A photo attached to a written change order is what makes the amendment collectible later.
• Record what came out, not just what is going inThe old two inch trap arm, the failed pan liner, the corroded valve. Homeowners forget quickly what condition their fixtures were in once the room is empty.
• Show containment and lead safe practices when they applyPlastic, signage, HEPA equipment and the cleaning verification step. On pre 1978 work these images support the three years of records the EPA RRP rule requires.
• Photograph the structure once it is fully openFraming, headers, bearing points, existing insulation. This is the only time the structure is visible and it is the reference you need if a plan reviewer or inspector asks questions.

Stage 3: Pre drywall, the set that pays for itself

• Shoot every wall bay before insulation goes inMove along each wall so the sequence overlaps. Good looks like continuous coverage where every stud bay in the scope appears in at least one image.
• Document blocking for anything that hangs laterGrab bars, floating vanities, TV mounts, closet systems, handrails. Photograph the blocking with a tape showing its height off the finished floor line.
• Capture nail plates and protected runsEvery PEX line, wire or drain within an inch and a half of a stud edge should show a plate. This is a common inspection callout and a fast one to prove after the fact.
• Photograph vent terminations and duct routingThe bath fan duct running to an exterior termination, not into the attic. Shoot the termination cap outside as well, since that is the pairing an inspector or a future buyer will want.
• Record the shower pan, waterproofing and any flood testSlope to drain, corners, curb detail, and standing water during the test with the time visible. Water intrusion claims arrive years later and this set is your entire defense.
• Get the homeowner to sign off on the pre drywall setSend the paired record and ask for acceptance before you rock the walls. A signature in June ends the September argument about whether the work was ever done.

Stage 4: Finish, punch list and final sign off

• Shoot each finished room from the same corners as Stage 1Matching the original angles is what makes a before and after pair read clearly. Same corner, same height, same framing, so the homeowner sees the change and not a different room.
• Photograph the punch list items as you close themOne image per item, taken when it is fixed. This turns the punch list from a nagging text thread into a closed record both sides can see.
• Document the site left clean and the protection removedFloors uncovered and swept, debris gone, adjacent rooms undisturbed. Cleanliness disputes are common on the last day and they are entirely preventable with three photos.
• Assemble the paired before and after report by roomEach room gets its Stage 1 wide shot next to its Stage 4 match, with the hidden condition photos in between. This is the document the client actually reads.
• Collect the client signature on the final recordGet acceptance in writing on the same day you walk the job with them. Send the final invoice with the signed report attached rather than as a separate ask a week later.
• Archive the set with the contract and change ordersStore photos, signed change orders and the final report together by address. Keep them for at least your state statute of repose on construction defect claims.
